POSITION:

To provide administrative assistance and support to the Medical Services Department.

Employees are expected to follow all safe working practices established by Ongwanada for the protection of the health and safety of all workers, persons-served and visitors and to identify and report actual or potentially unsafe situations.

DUTIES AND RESPONSIBILITIES:

  • Managing active calendars for the Director, Medical Services to, plan, coordinate and ensure schedules are up-to-date, arranging education for reporting staff, travel plans, itineraries, and agendas;
  • Maintain an accurate filing system (electronic and paper based);
  • Liaise with organizational and departmental staff and community partners re: scheduling appointments, scheduling meetings and ensuring follow-up on information as requested;
  • Appropriately handling correspondence, re-directing routine correspondence and composing correspondence as required;
  • Provide word processing (Microsoft, e-CIMS and other databases), scanning, photocopying, preparing power point presentations;
  • Record minutes/ensure meeting packages are distributed within the required timeline as assigned;
  • Office supply ordering and purchasing requests for the Director, Medical Services and respective reporting departments;
  • Report and escalate issues to management as needed.

QUALIFICATIONS, SKILLS & KNOWLEDGE REQUIRED:

  • Successful completion of post-secondary office administration diploma or equivalent education and experience;
  • Excellent oral and written communication skills;
  • Excellent time management and organizational skills with keen attention to detail;
  • Proficient in the use of standard office software;
  • Ability to work independently and as a team member is essential;
  • Bilingualism would be considered an asset;
